Description:

POSITION DESCRIPTION

You will be responsible for assisting with Front Desk Administrative tasks, we are looking for someone who will be sitting at Reception, must have 100% communication skills as they are the first point of contact.
Duties & Responsibilities

Answering phones -Phone etiquette is a must. Candidates must be able to field unwanted calls, take messages and exercise discretion with company information. Confidentiality is a must.

  • Mail - Incoming and outgoing mail (this would include bills via email), would need to be date stamped and disturbed for coding.
  • Distribution of file folders for all employees and employers
  • Scanning - All invoices need to be scanned for payments.
  • Filing - 9 Companies - various files for various companies, using a colour coded system, and GL code system.
  • Cheques - Needs to be able to contact trades to pick up cheques, and keep records.
  • Couriers - Arrange for courier pickups, and keep records.
  • Meetings - Set up a boardroom and meeting rooms.
  • Labels - needs to prepare labels for files and envelopes.
  • Phone System Maintenance - Setting up or Changes to Telephone System “Dialpad”
  • Office Supplies - Needs to keep inventory and order office supplies
  • Kitchen Duties - Prepare coffee daily for staff and Management. Keep the kitchen clean and tidy.
  • Google System - must be comfortable with google systems.

Qualifications

  • 3-5 years of Receptionist/office administration experience.
  • Excellent communication skills, both written and verbal.
  • Excellent knowledge of Microsoft applications, Word, Excel.
  • Attention to detail and ability to multi-task is an asset.
  • Exceptional time management skills.
  • Ability to work both independently and as part of our team.

This is a full-time permanent position, the shift is Monday to Friday (5 days per week)
8:15am to 5:00pm $45K/ year to start plus benefits.
