    Our client is an international oil trading MNC which is very stable and established. It is based in town. For this role, you report to Chief Admin Officer (CAO) and Admin Mgr. This is a permanent position and the co allows a WFH arrangement 1 day per week.

QUALIFICATION AND REQUIREMENT:

  • Degree/Polytechnic Diploma holder in any discipline
  • Must have some years of relevant working experience in general affairs and administration.
  • Must min 5 to 10 years of office admin exp gained with an MNC

Responsibilities:

  • Assist in the general administrative functions of the Company. Assess the Company’s needs for records, information, communication, and other common services and ensure that the organization’s administrative needs are met efficiently, reliably, and economically.
  • Oversee housekeeping and maintenance of office facilities, including reception area, conference/meeting rooms and pantries. Ensure environment, health, and safety standards are met, and comply with government regulations.
  • Input data into accounting system, prepare instructions and maintain records of approval transactions.
  • Assist with documentation and other administrative activities (including but not limited to maintaining filing system of document and managing Company’s service agreements)
  • Procure and keep track of office supplies.
  • Maintain and update group mailing list and other general administration databases (such as internal telephone directories).
  • Manage hotel, transportation, golf, and restaurant reservations.
  • Support expats with apartments and Visa applications for business trips.
  • Support in organizing company events and meetings (including but not limited to activities and assignments directed by CAO and Manager, HR & Admin)
  • Liaise with IT team for IT support.
  • Coordinate preparation and distribution of seasonal greeting cards of the company.
  • Manage drivers and related support (such as scheduling and conflict management).
  • Take turns as part of the admin team (of 4 staff) to support reception duties (including but not limited to posting and mail retrieval, serving drinks to the guests).
