Responsibilities:
ABOUT THE ROLE
We are seeking an upbeat, highly organized, and detail-oriented Office & Internal Events Manager to oversee our Palo Alto headquarters. The successful candidate will exemplify Aptos’ core values and own the office’s day-to-day operations while partnering closely with stakeholders, culture leaders, People, IT, and Finance teams to create a vibrant and productive workplace. This role provides an exciting opportunity for the right person who is eager to make this role their own and create an immediate impact throughout the organization.
This role is onsite and sits in our Palo Alto, CA office.
WHAT YOU’LL BE DOING:
Office Management
- Fully own and serve as the single responsible person for daily administrative and operational duties in the office
- Manage the office budget while being resourceful and creative, submit monthly expense reports, and work closely with the Finance team
- Receive and sort incoming mail and support with any outgoing mail
- Identify and develop new office policies/procedures and ensure they are implemented and adopted to ensure efficient and effective office operations
- Ensure that all office equipment is properly maintained and serviced, manage inventory, and order supplies as needed
- Manage office vendors and act as the point of contact by providing on-site support as needed; review scope and quality of work
- Continuously seek out and implement employee feedback to improve various office programs and perks ranging from pantry, lunch/dinner, parking, events, etc.
People & Culture
- Lead and support internal events by planning, tracking the budget, and owning all stages of logistics from ideation through completion
- Support the People Ops team with onboarding new employees, provision security badges, and provide access to our office-related platforms
- Collaborate with the People Ops team in developing smooth and automated processes to help our team scale
- Successfully manage projects of various size and disciplines with the same amount of care and attention to detail
- Monitor, track, and address incoming employee requests and facilities issues
