JOB SUMMARY
The College of Professional Programs at Eastern Washington University is seeking a skilled, team-oriented and proactive applicant for our Office Assistant 3 for the School of Psychology.

The Office Assistant 3 will perform a wide variety of duties for the School of Psychology. This position serves as the primary clerical support for the school and will independently perform a variety of complex clerical projects and assignments such as establishing and maintaining record keeping/filing systems and/or database files; preparing reports; preparing, reviewing, verifying documents and records composing correspondence such as transmittals and responses to frequent requests for information and responding to inquiries requiring substantive knowledge of office /departmental policies and procedures.
Assist faculty and staff in office needs such as copies, reports, and faxes. Provide information and advice to students, staff, program participants, and/or the public regarding basic knowledge of the program. Ability to guide and direct to the correct program and or staff. Attend college, program, and school meetings. Maintains proficient knowledge on changes in the program and the different courses and changes throughout the academic year. Monitor supplies and request orders and serve as a backup for purchasing and travel procedures.
In performing the position’s duties, this position will have extensive involvement with students, staff, and the public in carrying out program activities and will coordinate, schedule, and monitor program activities to determine consistency with program goals. The position reports directly to the Chair of the School of Psychology.
The salary for this position is $37,896 (minimum) up to $42,552. Where the hired candidate will begin within this range is dependent on education, experience, and skills. REQUIRED QUALIFICATIONS
- High school diploma or equivalent
- One-year of office experience including reception duties and keyboarding
- Knowledge of Microsoft Office Suite
- Demonstrated ability to apply a culturally responsive and flexible approach that is supportive to the diverse needs, including universal accessibility, of our students, faculty, staff, and the public
PREFERRED QUALIFICATIONS
- Two or more years experience working in an office setting for a medium- to large-organization
- Knowledge and/or experience working in higher education

Responsibilities:
- Answer telephones, and receive, screen, and refer visitors; resolve problems and respond to inquiries regarding procedures and services; refer non-routine inquiries to supervisor or other university staff; return phone and email messages daily.
- Keep position’s calendar up to date; all meetings and appointments during work hours are shown on calendar, in addition to approved time off.
- Attend meetings on behalf of supervisor and others in the School of Psychology as requested; gather information and report back to appropriate party.
- Meet with students to provide initial triage and connection to appropriate areas for additional service.
- Take minutes and disseminate as appropriate for meetings.
- Facilitate and processes communications with other campus areas such as the Book Store and CAAR.
- Assist with admission and tracking of undergraduate graduate program students.
- Maintain up-to-date knowledge and understanding of department personnel, functions, policies, processes and procedures, as well as University’s policies and procedures and personnel.
- Develop and maintain advanced skills in use of software programs including: Excel, PowerPoint, Canvas, Navigate, Argos, APS, Word, internet browsers, electronic calendar, Banner, email, and other software programs as designated.
- Maintain knowledge and skills related to customer service and reception/front desk/phone protocols.
- Assist with testing room management, checkout, and acquisition of new materials.
- Maintain agreed upon office hours, Monday through Friday, with appropriate breaks.
- Other duties as required.
