Description:
Are you our future office manager?
We’re looking for an all-star office assistant to join our growing team at our headquarters. If you are the one, your goal will be to become the beating heart of our business – to help us keep our office organized and running smoothly as we work to establish our company as the #1 authority in IT as a Service.
Our office assistant must have an eye for detail and anticipate needs around the office. The right candidate will see the value in every person on our team and work with departments as needed to produce seamless internal operations.
What your typical week will look like
- Collect and sort mail.
- Provide aid to the Finance Manager, which may include running bank deposits, spearheading A/R responsibilities, and basic bookkeeping.
- Maintain general office files, including vendor files and client files.
- Oversee maintenance requests pertaining to office facilities.
- Purchase office supplies and maintain proper stock levels.
- Assist with bi-monthly company lunches – organizing, pickup, and cleanup.
- Assist the Chief Executive Officer in tasks to maintain a cohesive office, which may include duties such as booking meetings or day-to-day work.
- Aid with equipment shipping and receiving.
- Ensure all inventory and client equipment is handled, stored, and labelled properly.
- Flexibility with start or end, determined by instances of shipments or preparing office for staff meetings.
Educational background
High school diploma or equivalent.
Skills and required knowledge
- 3+ years of office management experience.
- Familiarity with QuickBooks
- Good verbal and written communication skills.
- Positive attitude towards people and problems.
- Ability to self-start, work independently and achieve high standards to meet multiple deadlines.
- Work effectively with staff in a team-oriented environment with a positive, can-do attitude.
- Adept in developing and maintaining strong relationships with management, staff, vendors, and clients.
- Exhibit a high degree of professionalism, balanced business judgment, tact, and diplomacy.
- Excellent problem-solving skills, in both mundane and highly sensitive, albeit complex situations.
