Hiring Unit:
Departments of Music Research and Performance, Schulich School of Music
Primary Responsibilities:

Under the supervision of the Administrative Officer, the incumbent may perform some or all of the administration functions provided below.

  • Provide secretarial and clerical support to the Departments of Music Research and Performance, and the Administrative Officer.
  • Initiates, writes and/or edits documents for the Departments of Music Research and Performance.
  • Acts as first contact to the departments, greets students, academic staff, and other parties. Receives and provides general and detailed information and explanations to students; refers when necessary.
  • Processes data, reports, timesheets, and registrations.
  • Providing support to classroom scheduling, examinations and grade management.
  • Performs other duties as required.

The list of functions outlined above is representative and not a complete and detailed list of tasks which may be performed by an incumbent. For example, incumbents may be asked to perform some elements of Office Assistant level “A” and/or “B” in addition to the above listed functions.

Other Qualifying Skills and/or Abilities

  • Ability to work effectively as part of a team, with a cooperative approach to supporting colleagues and departments
  • Customer service orientation
  • Strong written and verbal communication abilities
  • Ability to assess situations and to prioritize tasks and ensure efficient workflow in a fast-paced office environment
  • Strong attention to detail and experience with data entry
  • Proficiency in Microsoft Office Suite with intermediate skills in MS Excel, and knowledge of Banner, Minerva, and MS Access is a plus; ability to adapt to new software tools and systems as required
  • Experience in academic or administrative environments; Familiarity with the Schulich School of Music and/or knowledge of musical genres, such as classical and jazz is an asset
