Responsibilities:
The Office Assistant will be responsible for coordination of the reception area (answering the main telephone line and usual reception duties) liasing with supply vendors, dealing with all postal requirements, and supporting the Management in various day-to-day tasks.You will be responsible to work together with HR, finance with the documentation received to the reception. You will be also responsible for the organization of all the business trips to abroad, key contact for the onsite business and customer visits.
- Take charge of the entire reception area.
- Handle and forward incoming reception calls as required.
- Sort and distribute post.
- Receive and make clients and guests feel welcome.
- Complete administrative work as required (typing, basic reports, …)
- Arrange post/courier services when needed.
- Be responsible for the office/kitchen materials stock
- Organizing business trips – transport and accomodation
- Organizing meeting room bookings and catering
- Booking of parking places in the office building
- Procurement and handover of incentive gifts
- Filing for various departments as required.
- During times of high pressure, support the HR and operations department in doing easy data entry or other BackOffice work.
