Description:

The award-winning, Wilhite Law Firm is seeking a highly organized and detail-oriented BILINGUAL Executive Administrative Assistant/Receptionist to join our on-site team. The ideal candidate must be bilingual (Spanish/English), proficient in MS Office products, possess excellent phone skills, willing to work in office, and thrive in a fast-paced environment. This role will provide crucial support to multiple leaders and departments, requiring exceptional time management and multitasking abilities.

QUALIFICATIONS:

  • Fluency in both English and Spanish (written and verbal) is required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated experience in a fast-paced administrative support role, preferably supporting multiple executives or departments.
  • Exceptional phone etiquette and communication skills, with the ability to interact professionally with clients and staff.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines effectively.
  • Proven ability to multitask and adapt to changing priorities in a dynamic work environment.
  • Positive attitude, team player mentality, and willingness to take on new challenges.
  • Previous experience in a receptionist/executive admin role or front desk environment is a plus.

Responsibilities:

  • Serve as the primary point of contact for all incoming calls and visitors, ensuring a professional and welcoming atmosphere at all times.
  • Manage multiple calendars and schedules for executives and department heads, including scheduling meetings, appointments, and travel arrangements.
  • Provide administrative support to executives, including drafting and proofreading correspondence, preparing presentations, and handling expense reports.
  • Coordinate and organize meetings, conferences, and events, both internally and externally, ensuring all logistical details are handled smoothly.
  • Assist with cross-functional projects and initiatives, collaborating with various departments to ensure seamless communication and coordination.
  • Maintain confidentiality and discretion when handling sensitive information and documents.
  • Perform general office duties, such as ordering supplies, managing office equipment, and handling incoming and outgoing mail.
