Description:
We are offering a contract to hire employment opportunity for an Office Assistant in Alpharetta, Georgia. This role primarily involves providing administrative support to ensure the smooth operation of our office. The Office Assistant will be expected to perform general administrative tasks, handle incoming calls and inquiries, and support accounting functions.
Responsibilities:
- Handle general administrative tasks such as data entry, filing, and document preparation.
- Respond to and direct incoming calls and inquiries to the appropriate personnel.
- Ensure the office is well-stocked and functional by maintaining and organizing office supplies and equipment.
- Assist in coordinating logistics for scheduling appointments and meetings.
- Prepare and distribute both internal and external communications, including memos, reports, and emails.
- Support accounting functions, including invoicing and tracking payments.
- Assist with project management tasks and ensure deadlines are met.
- Collaborate with team members to improve office processes and procedures.
- Utilize various software systems such as CRM, ADP - Financial Services, and Accounting Software Systems to perform tasks efficiently.
- Perform clerical duties as needed, which may include answering inbound calls and handling billing functions.
- Proficiency in Accounting Software Systems
- Experience with ADP - Financial Services
- Ability to design and manage Banner Ads
- Strong computer skills with a range of programs
- Familiarity with CRM systems
- Experience with ‘About Time’ software
- Excellent communication skills, both written and verbal, to effectively answer queries
- Experience in answering inbound calls in a professional manner
- Familiarity with billing functions and processes
- Ability to perform a variety of clerical duties such as filing, typing, and organizing documents.
