DarkVision, a Koch Engineered Solutions company, is looking for a detail-oriented and proactive Office Coordinator to join our fast-paced team. This role is focused on enhancing the employee experience by ensuring the office runs smoothly and maintains a welcoming, organized, and fun atmosphere. While we take our work seriously, we don’t take ourselves too seriously, so a sense of humour and a positive attitude are essential!
In this role, you’ll oversee front desk responsibilities (no need to answer calls!) and manage a wide range of tasks. From general office organization and administrative support to planning and organizing company-wide events, you’ll play a key role in keeping everything in check!

WHO YOU ARE (BASIC QUALIFICATIONS)

  • Experience: Professional experience in an office coordinator, assistant, receptionist, or similar administrative role.
  • Tech Savvy: Able to use Microsoft Office Suite (Word, Excel, PowerPoint) in a professional setting.

Responsibilities:

  • Front Desk Management: Serve as the first point of contact for employees and visitors, ensuring a positive and professional experience.
  • Office Organization: Keep the office neat, fully stocked, and running efficiently. This includes managing office supplies, mail distribution, and liaising with vendors.
  • Employee Experience: Work closely with the team to create a welcoming environment by supporting events, celebrations, and general office morale.
  • Health and Safety: Serve as part of the Health and Safety Committee, ensuring compliance and creating a safe workplace for all employees.
  • Administrative Support: Provide support to various departments, including document preparation, data entry, and general office organization.
  • Facilities Management: Liaise with vendors, manage office repairs/maintenance, and ensure the office is always clean, safe, and well-maintained.
  • Onboarding Support: Assist the People team with new hire setup, including workspace preparation and distribution of necessary materials.
  • Event Coordination: Help organize internal events, such as team lunches, meetings, and celebrations.
  • Other Duties as Assigned: Provide additional administrative support as needed to ensure the smooth operation of the office.
