Join our team as Office Coordinator to support the day-to-day operations ensuring that the office runs smoothly and efficiently. You will be responsible for maintaining the office space, coordinating with vendors, supporting operations, organising meetings and coordinating travel arrangements for senior leadership. An opportunity to work in a dynamic environment, you will play a critical role in ensuring a safe, organised and efficient workplace.
This position is part-time, requiring 25 hours per week

SKILLS REQUIRED:

  • 3+ years’ experience in office management or relevant business experience
  • Interpersonal and organisational skills, and a commitment to accuracy and attention to detail
  • Ability to communicate effectively in writing and verbally with all levels of personnel
  • Analytical and problem-solving skills
  • Flexibility and ability to multi-task
  • Good understanding of purchasing processes, budgeting and best practices
  • Excellent time management skills
  • Proficient in MS Office (Excel, Word, Powerpoint)

Responsibilities:

  • Ensure the efficient functioning of the office via a range of administrative, clerical and financial tasks.
  • Liaise with vendors for mechanical, electrical and cleaning services, with a focus on cost efficiency.
  • Work with the accounts department in the US to ensure timely payment of invoices.
  • Provide general assistance to visitors, answer phone and handle incoming / outgoing mail and deliveries.
  • Manage office security, including access cards and the intercom system.
  • Address employee queries and requests regarding office operations.
  • Coordinate office events.
  • Assist with general administrative tasks and other job-related duties as assigned.
  • Seek ways to improve office efficiency.
