We’re looking for a Office Coordinator (Part-time) to join our team in Auckland. You will be responsible for keeping our office operations running smoothly and ensuring successful execution of office events. Playing a crucial role in our operations team, you will help coordinate our Auckland office activities, manage our supplier relationships and oversee the maintenance of our facilities. Your contributions will be essential in creating an exceptional workplace experience for our team. The ideal candidate for this role is a highly organised multitasker with effective communication, as a proactive problem-solver you collaborate well with your colleagues.
Please note that this role is Part-time, you will be working 32 hours a week with a half day on Fridays.
What you’ll be doing:

Office:

  • Keep office supplies and inventory in top shape, ensuring everything runs smoothly.
  • Assist with the setup and maintenance of workstations and office equipment.
  • Tackle Office and Facilities requests, including onboarding and off boarding.

Facilities:

  • Drive the daily operations of the office, ensuring everything is maintained and running efficiently.
  • Manage Health & Safety compliance, keeping our workplace safe and secure.
  • Maintain strong vendor relationships to deliver exceptional services.
  • Perform routine inspections of the office to identify and resolve any maintenance issues.

Event Coordination:

  • Assist with planning and executing exciting office events, handling budgets and payments.
  • Organise engaging activities as part of the Culture Club to maintain a fun workplace vibe.
  • Keep an up-to-date event calendar and share details with the team.
  • Coordinate with vendors and manage all event logistics.

What you need to bring:

We’re looking for a candidate who has experience with the following:

  • Previous experience in administration, office coordination, hospitality, or a similar field.
  • Proven track record of providing outstanding service.
  • Fluent in both written and spoken English.
  • Comfortable with computer systems, including Microsoft Office or Google Workspace.
  • Experience in facilities and project management is a bonus (but not needed).
