Position Summary:
The Office Coordinator is an integral role within the Legal/HR department, and as such all ideas, input, and constructive recommendations will be highly valued. The employee in this position performs a wide variety of tasks supporting the day-to-day office operations while working closely with the Human Resources Department to fulfill a variety of Human Resources tasks. Success in this role requires consistency and reliability in performing a baseline set of everyday tasks while maintaining flexibility and creativity to address unique or unexpected situations as they arise. As the primary functions of the Office Coordinator require being on-site at the WIN Technology Eau Claire headquarters, this position is entirely in-office and is not eligible for remote or hybrid work.

Primary Responsibilities:

  • Serve as the primary welcoming liaison for visitors to the corporate headquarters while maintaining critical building security guidelines
  • Manage office supply inventory and perform general administrative duties including copying, faxing, and distributing documents
  • Receive, sort, redirect, and prioritize incoming and outgoing mail and packages, and answer phone calls
  • Assist with Human Resources functions including advertising and recruitment for professional, technical, and support staff through the submission of online job postings and scheduling interviews
  • Assist Human Resources with new hire pre-employment and onboarding activities
  • Support Human Resources with implementation and administration of policy and procedures to increase staff efficiency, manage documents on Sharepoint or other file repository
  • Organize and schedule appointments and travel arrangements for various departments within the organization
  • Assist in the preparation of regularly scheduled reports and prepare correspondence and other communication as directed within departments
  • Provide general support to internal and external clients
  • Perform any additional job-related duties needed to help drive our vision, fulfill our mission, and deliver industry-leading customer service

Technical Skills/Abilities:

  • Proven experience as an administrative assistant/office coordinator
  • Proficiency in standard computer applications such as email, Microsoft Office products, and related business and communication tools
  • Excellent time management skills with proven ability to prioritize workloads
  • Meticulous attention to detail and interpersonal skills with the ability to manage sensitive and confidential situations with tact and professionalism
  • Desire to work in a dynamic, fast-paced environment where exact protocols may not exist

Qualifications:

  • Successful candidate must have an associate’s or bachelor’s degree
  • Must have a minimum of 2 years’ experience in an administrative role
