Job Description
As an Office Management Associate at EcoVadis, you will help us build a kind and happy atmosphere in the Warsaw office. Your daily work will focus on tasks related to the functioning of the Warsaw branch of EcoVadis, but you will also have tasks in cooperation with people from other offices all over the world. As our team is truly international and diverse, we count on your openness, courtesy and willingness to constructively resolve any issues.
Responsibilities:
IN THIS FULL-TIME ROLE, YOUR RESPONSIBILITIES WILL INCLUDE:
- Organization of all small and big internal, sustainable office events (including reporting office events footprint)
- Administrative and logistic support for the office
- Close cooperation with other departments – HR, Accounting, IT Support, Legal and Procurement
- Managing and monitoring the flow of documents
- Managing cash box
- Creating clear and transparent communication to employees (including visual communication)
- Interacting and work with stakeholders across the organization to support various projects in line with the other EcoVadis offices
- Fostering a good, kind and inclusive atmosphere at the office
- Being an active member of the global office management team
- Answering everyday requests and questions of employees
- Managing travel and office management platforms
Qualifications
Fluent in Polish and English, both verbal and written
- Being interested in sustainability and CSR
- Advanced MS Office and/or Google Workspace
- Excellent communication skills and ease with intercultural communication
- Customer service oriented towards all internal and external stakeholders
- Strong team player with flexibility to work independently when necessary
- Previous experience in Office Assistant role would be a plus
- Ability to work in dynamic environment
- Strong time management, organizational, and prioritization skills with attention to detail
- Flexibility and agility to adapt to demands and meet deadlines
