Job Description
The Office Manager plays a varied role in ensuring the smooth, day-to-day running of the office. The role is to create and maintain a pleasant working environment, ensuring high levels of organisational effectiveness, communication and safety. The Office Manager will have contact with all levels of internal staff and clients and visitors. Reporting to the Director, Office Management.

QUALIFICATIONS

  • Experience in office management or administrative support.
  • Proficient at managing time, multiple tasks, and prioritizing effectively.
  • Experience with customer interactions, both by phone and in person.
  • Google workspace proficiency

Responsibilities:

  • Meet and greet all guests and providing refreshments when requested
  • Manage visitor access and bookings and arranging Shard inductions for Jellyfish staff
  • Manage maintenance of the office environment, plants and furniture
  • Collaborate with 3rd party companies such as security staff, reception, cleaning contractors and maintenance companies
  • Regular food and beverage orders inclusive of weekly food shop and refreshments for meetings and events
  • Completing an AM and PM floor walk to ensure that the office is at it’s highest standard
  • Refilling breakout areas when appropriate and ensuring they are kept tidy at all times
  • Ensure that the pantry and storage cupboards are always tidy and organised
  • Ensure IT requirements throughout the office are met by working with the IT Helpdesk
  • Booking Shard staff travel and accommodation when required to do so
  • Support the HR team on the newcomers / leavers process
  • Ensure building compliances are met and update building management with records monthly
  • Manage and update the event coordinate with the training team to avoid conflicts, and handle ad-hoc event project support.
  • Organize office access for attendees, arrange deliveries, book event spaces, liaise with clients and internal teams, and manage event logistics, including catering, equipment, and IT needs
