ABOUT THE POSITION

We are seeking a proactive, detail-oriented, and friendly professional to work in our Benicia location as an Office Manager and Administrative Assistant. This position is perfect for someone who enjoys wearing multiple hats, working both independently and collaboratively, and playing a key role in keeping a wellness-focused business running smoothly.
This position encompasses both front and back-office responsibilities and provides essential administrative support to the Executive Director and leadership team. Candidates must be highly organized, adaptable, and capable of balancing administrative efficiency with exceptional client care.

REQUIRED QUALIFICATIONS

  • Associate’s or Bachelor’s degree (or equivalent experience).
  • At least two years of administrative, executive, or office management experience.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) and Zoom.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Ability to handle sensitive conversations with empathy, professionalism, and confidentiality.
  • Strong data entry and record-keeping skills with a high attention to detail.
  • Possesses a growth mindset and is open to feedback.
  • Excellent problem-solving and critical-thinking skills.
  • A team player who actively engages in team meetings and events.
  • Highly reliable and able to work independently without direct supervision.
  • A passion for wellness, mental health, or holistic care, with an understanding of our clinic’s mission and shared values.

PREFERRED QUALIFICATIONS

  • Previous experience working in a therapeutic setting / familiarity with mental health, holistic wellness, or medical office workflows
  • Understanding with basic healthcare policies, HIPAA compliance, and insurance procedures
  • Proficiency in administrative software, including:


    • ClickUp for task management and workflow tracking.

    • Airtable for organizing and maintaining client data, scheduling, or internal operations.
    • Electronic Health Record (EHR) systems (e.g., Jane, SimplePractice, Mindbody).
