Responsibilities:

WHAT YOU’LL BE DOING

  • Office Operations: Oversee day-to-day operations of the Victoria office, including facilities management, supplies procurement, and vendor relationships. Examples of typical duties include ensuring the kitchen is stocked with healthy snacks for staff, coordinating facilities maintenance with our cleaning contractor, and processing and distributing incoming mail.
  • Administrative Assistance: Provide administrative support to Directors as needed, including scheduling meetings and calendar management.
  • Event Coordination: Assist with planning and coordinating company events, meetings, and team-building activities.
  • HR Support: Assist the People & Culture Manager with various HR tasks, including interview scheduling, employee onboarding/offboarding, and maintaining our HRIS.
  • Finance Support: Assist the Finance team with accounts receivable.
  • Communication: Serve as a point of contact for internal and external stakeholders, handling inquiries and ensuring timely and professional communication. Answer and direct incoming phone calls, providing excellent customer service.
  • Support special projects and ad hoc tasks as needed.
