Job Title: Office Manager – Procedure Center
GENERAL SUMMARY:
As the Office Manager at our Procedure Center, you will be instrumental in ensuring an exceptional patient experience and operational excellence. Your leadership will foster a culture of respect, compassion, and teamwork, aligning with Novant Health’s mission to provide remarkable care. You will oversee various administrative functions, including insurance verification, scheduling, compliance, and financial operations, all while promoting a positive image of the facility to patients, physicians, and the community.
EXPERIENCE:
- Minimum of two years of experience in a medical facility or medical business office setting required.
ADDITIONAL SKILLS/REQUIREMENTS:
- Training in business office practices and strong ethical standards.
- Supervisory experience and a solid understanding of accounting principles in a medical context.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and automated billing systems.
- Knowledge of managed care processes and familiarity with Medicare, Medicaid, and third-party payer systems.
- Strong verbal and written communication skills, with the ability to engage effectively with diverse audiences.
- Basic knowledge of medical terminology and coding practices.
Qualifications:Education:
- High school diploma or GED required; Bachelor’s degree preferred
Responsibilities:
ESSENTIAL JOB RESPONSIBILITIES:
- Leadership & Team Management: Directly supervise business office personnel, including training, performance evaluations, and maintenance of personnel records. Foster a collaborative team environment that encourages open communication and professional growth.
- Operational Oversight: Ensure efficient execution of administrative tasks such as scheduling surgical procedures, managing insurance verifications, and overseeing the transcription of operative procedures in alignment with facility policies and objectives.
- Financial Management: Coordinate with the billing company on accounts receivable and ensure timely coding and billing. Maintain accurate accounts payable records and oversee payment processing for supplies and services.
- Compliance & Quality Assurance: Maintain up-to-date knowledge of federal and state regulations, ensuring all office practices adhere to compliance standards. Participate in performance improvement initiatives and support the facility’s compliance program.
- Payroll Administration: Organize and maintain payroll records, ensuring accuracy and compliance with all applicable regulations. Review time cards and handle payroll reporting, ensuring timely distribution of payroll checks.
- Patient Experience Enhancement: Promote a welcoming and efficient environment for patients and families, addressing concerns promptly and ensuring their rights and needs are respected.
- Communication & Collaboration: Serve as a liaison between physicians, staff, and patients, fostering positive relationships and effective communication. Participate in facility meetings and collaborate with management to improve operational workflows.
- Inventory & Supply Management: Monitor and manage office supplies, ensuring adequate stock levels and timely orders to avoid interruptions in service.
