Responsibilities:

ABOUT THE ROLE

The Office Manager and Executive Administrative Assistant is an integral role at Innovate BC providing comprehensive support to the Office of the CEO and senior leadership, being a primary point of contact for Innovate BC staff and key stakeholders, while providing operational support and oversight for key office functions. Key responsibilities include managing administrative tasks, supporting executive schedules and travel, and overseeing office operations.
This role requires a high level of professionalism, discretion, and the ability to work independently as well as collaboratively across the organization. Our ideal candidate will have a comprehensive administrative background with experience supporting senior executives and working with diverse teams.
Compensation: $56,000 - $74,000
Reporting to: Head of Executive Operations
Location: Vancouver, BC
Work Arrangement: Hybrid - Requirement to work in-office at least 3 days per week and additional days when Executives are onsite.
Employment Type: Full-time

WHAT YOU WILL BE DOING

  • General Administrative Support: Handling phone calls, emails, and administrative resources; maintaining records and contact lists; supporting SharePoint and Microsoft Teams.
  • Executive Support: Managing schedules, travel arrangements, meeting logistics, and expense reports for Executives; preparing agendas and minutes.
  • Office Administration: Office operations, supplies, vendor coordination, and facilities management support; supporting onboarding of new staff.
  • Event Planning: Supporting the organization and logistics of internal and external events.
  • Project Management: Assisting with special projects and initiatives led by the CEO and Leadership Team.
