Position Overview:
We are seeking a dynamic and highly organized individual to join our team as Office Manager and Executive Assistant to our CIO, who will be based at our HUB in the 11th district of Budapest. The future colleague will be reporting to our HUB Site Lead, Bori Aczél. In this dual role, you will play a crucial part in maintaining the efficiency of our office operations while also providing direct support to our Chief Information Officer. This is a unique opportunity to be involved in both administrative functions and executive-level tasks within a leading global company dedicated to innovation and excellence.
Key responsibilities in this dual role:
Office Manager (50%):
General office management activities to ensure smooth running and comfort of the office workers

i.e.:

  • Arrange welcome packages for new joiners including access cards, office equipment
  • Act as point of contact towards vendors like building maintenance, benefit providers, cleaners, etc.
  • Keep a healthy stock of materials and ensure orders are timely placed
  • Process invoices through our Travel and Expense systems
  • Check and accept mails and packages
  • Coordinate deliveries between our office and factory locations
  • Assist our global visitors with accommodation, meeting room bookings, meal arrangements
  • Provide input to budget planning
  • Take an active part in organizing yearly, recurring events, like picnic, Xmas party
  • Ensure health and safety, first-aid trainings as well as equipment are maintained according to local law
  • Communicate general updates, news, happenings to the office workers

Executive Assistant for CIO (50%):

  • Booking and arranging Leadership Team meetings, Townhalls, workshops, vendor meetings
  • Coordinate tasks between Leadership Team members
  • Booking travels
  • Keeping an action log for the Leadership Team
  • Following up on employee engagement surveys and ensure actions are in place to improve
  • Ad hoc analysis for Leadership team

The new colleague should bring the following:

  • Proven experience as an Office Assistant or Executive Assistant at a multinational company, at least 5 years
  • Excellent organizational and multitasking skills
  • Fluent written and verbal communication abilities in English
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • High level of professionalism and discretion in handling confidential information
  • Ability to work independently and as part of a team
