Description:

BASIC REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in business administration, management, or a related field
  • 2 to 5 years of experience in office management or administrative or related field
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Strong leadership skills, with the ability to manage and motivate a team
  • Proficiency in Microsoft Office / Google Workspace and/or other office software

The Team: The OSTTRA team is composed of Capital Markets Technology professionals, who build, support and protect the applications that operate our network. The technology landscape includes high-performance, high-volume applications as well as compute-intensive applications, leveraging contemporary microservices, cloud-based architectures

Our services are vital to automated trade processing around the globe, managing peak volumes, and working with our customers and regulators to ensure the efficient settlement of trades and effective operation of global capital markets
We are looking for a highly organized and detail-oriented Office Manager / Executive Assistant to oversee the day-to-day operations of our office. The ideal candidate will be responsible for ensuring that the office runs smoothly, coordinating with internal and external vendors, and handling administrative duties. We are resident in the offices of our investor CME, therefore managing the relationship with CME for site management is a key part of the role. The Office Manager will be a key member of our team, and will work closely with senior management to ensure that our office is operating efficiently.

This is an excellent opportunity to be part of a team based out of New York City and to work with colleagues across multiple regions globally.

  • Manage the day-to-day operations of the office
  • Liaise with CME for site management on a regular basis. E.g., transport, facilities, property, vendor management, etc. to ensure all the office services needed for our teams are being delivered to our satisfaction
  • Oversee the implementation and maintenance of the office’s access control systems, including key card access, and security badges.
  • Managing local OSTTRA office branding in consultation with the global marketing team.
  • Manage the office budget and ensure that expenses are within budget limits, maintain an accurate record of office expenses, and ensure that all bills are paid on time
  • Develop and implement office policies and procedures to ensure that the office runs smoothly
  • Manage and maintain office equipment, supplies, and inventory including new joiner kits, event-specific merchandise, branded items, etc.
  • Coordinate meetings, appointments, and travel arrangements for senior leadership.
  • Organize and coordinate all arrangements needed for in-office events, external team events, senior visitor visits, offsite events, recruitment events, etc.
  • Manage vendor relationships and negotiate contracts for office services in partnership with the respective teams. Act as the point of contact for all relevant external vendors and service providers
  • Ensure that the office is clean, organized, and well-maintained

Ensure that the office complies with all relevant health and safety regulations Prepare reports and presentations for senior management as required

  • Maintaining a New York visits calendar on a rolling basis
  • Completes a broad variety of administrative tasks for the leadership team: managing an extremely active calendar of appointments, arrange meetings, both internal and external, some involving high-ranking officials. Plan logistics for all meetings.
  • Manage the immediate day-to-day and monthly operations with respect to communications, workflow, arranging travel, booking tickets, handling of expenses and budget of the department.
  • Provide Administrative support as and when needed to ensure smooth and successful delivery of results.
  • Anticipate the needs of Senior Leadership Team and provide the appropriate support and guidance to ensure the team is operating efficiently and effectively, i.e. Leadership Team meetings, setting up calls etc..
  • Manage workspace requirements, coordinate with landlord, security teams, food vendors, transport teams and infrastructure teams on office space requirements on a day-to-day basis
  • Coordinate and assist with BCP testing of the office premises coordinating with the Risk committee and space management including landlord representatives
  • Coordinate hot-desk space requirements for staff.

Compensation/Benefits Information: (This section is only applicable to US candidates)
S&P Global states that the anticipated base salary range for this position is $60,000 to $77,000. Final base salary for this role will be based on the individual’s geographic location, as well as experience level, skill set, training, licenses, and certifications.
