Responsibilities:
ABOUT YOUR FUTURE ROLE
Our Office Manager is responsible for overseeing the daily operation of the office, managing facility maintenance and coordinating vendor relationships related to the office.
As an office manager you will also be providing executive support to the leadership team and broader organisation including our sales team. In addition, you will be supporting our HR function with a number of activities.
The role encompasses a range of duties aimed at maintaining an efficient, compliant, and positive work environment.
YOUR KEY RESPONSIBILITIES IN THIS ROLE WILL BE:
- Office Management:
- Supervise daily office operations to ensure efficient workflow.
- Manage office supplies, equipment, and inventory.
- Ensure the office looks presentable and well maintained.
- Coordinate office activities and events to enhance workplace culture.
- Organize team-building activities.
- Maintain relationships with vendors, service providers, and the landlord.
- Optimize office layout for functionality and productivity.
- Manage external and internal guests and coordinate and organize events and meetings.
- Facility Management:
- Oversee maintenance and security of office premises.
- Manage facility projects, including renovations and relocations.
- Ensure compliance with health and safety regulations.
- Conduct regular inspections to maintain a safe and clean environment.
- Coordinate repairs and maintenance with external contractors.
- Executive Assistant Duties:
- Provide administrative support to the leadership team.
- Coordinate travel.
- Handle confidential information with discretion.
- Assist in preparing for leadership- and other meetings as well as coordinating actions from meetings.
- HR Support:
- Support cultural integration initiatives
- On-/off-boarding activities
- Ad hoc HR support and reporting
- Document management and knowledge sharing
We expect you to be on site in Virum with flexible working hours and possibility of working from home regularly.
QUALIFICATIONS NEEDED TO BE SUCCESSFUL IN THIS ROLE:
- Excellent organizational and multitasking skills, strong at keeping oversight
- Exceptional communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to handle sensitive information with confidentiality and professionalism.
- Customer focus and strong ability to service colleagues and guests and finding pragmatic solutions
- A team player mindset, able to work effectively at all levels of an organization and ability to work pro-actively
- Proficiency in written and spoken Danish and English
