Description:

Speaks Law Firm is looking for a highly motivated and organized Office Manager to support our growing Charlotte team. Candidates must have a minimum of two (2) years of office or case management with supervisory experience specific to a personal injury law firm. This position will report to our Charlotte office and hours of work are Mon-Fri 8:30-5:30.
No phone calls please.

Responsibilities include, but not limited to:

  • Onsite staff management: This position will be the primary point of contact for all Charlotte based staff and vendors. Provide consistent support and timely resolution of day-to-day staff and administrative issues.
  • Facility management: Maintain office equipment, supplies, and facilities, including regular check-ins with lease and cleaning personnel. Conduct regular safety checks and ensure all hazards and deficiencies are addressed with a sense of urgency.
  • Client Relations: Be responsive and proactive in maintaining effective communication with attorneys, clients, insurance adjusters, and other professionals. Conduct routine client contact regarding case updates, treatment, coverage investigations, etc. Assist with legal research and case preparation. Maintain updated lien and balance information. Communicate with insurance and health adjusters regarding demand packages, policies, liens, and payment logs. Complete systematic file review of demand packages.

Required Qualifications:

  • Associate’s degree or higher preferred
  • Paralegal Certificate a plus
  • Must be able to work on-site from 8:30am to 5:30pm
  • Strong organizational skills and attention to detail
  • Intermediate to advanced computer skills
  • Strong analytical and problem-solving skills
  • Ability to effectively communicate and collaborate with senior leaders, clients and staff
  • Understand legal language and principles, and other related processes
  • Needles/Neos case management software experience a plus
