Description:

We are seeking an experienced and organized Office Manager to join our client’s team in the West Metro area. This position will support both administrative and human resources functions while responding to incoming client inquiries to ensure smooth office operations. Additionally, this position will handle bookkeeping and scheduling activities for the owner’s external company. Ideal candidate brings 3+ years of office management experience as well as familiarity with tax preparation and/or client bookkeeping.

Responsibilities:

Respond to client inquiries promptly, providing accurate information and troubleshooting service-related issues.
Schedule and coordinate client meetings, manage appointments, and prepare meeting materials.
Assist clients with Tax Organizer inquiries and provide guidance on completing forms, checking tax status, etc.
Onboard clients, maintain digital and hardcopy tax files, manage a weekly service activity spreadsheet, and document client feedback for process improvement.
Manage the reception area, greet visitors, and direct them appropriately.
Handle mail distribution and ensure efficient processing of packages and deliveries.
Oversee office organization, including ordering and managing supplies, maintaining equipment, and ensuring a welcoming atmosphere.
Handle employee relations, onboarding, PTO tracking, and document management.
Collaborate with HR to coordinate company events, meetings, and other gatherings.
Manage vendor relationships, ensuring office functionality by coordinating with service providers and contractors.
Support marketing efforts across departments, including maintaining mailing lists and managing mailers.
3+ years of Office Administration/Management experience.
Strong understanding of accounting and tax preparation services preferred.
Familiarity with tax software such as UltraTax, Cybercabinet, and Tax Organizer preferred.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Experience with Salesforce or similar CRM software.
Excellent verbal and written communication skills.
Proactive, detail-oriented, and able to multi-task in a fast-paced environment.
Strong organizational and time management skills.
Ability to troubleshoot and resolve basic client issues.
Strong interpersonal skills for client and team collaboration.
