WHO ARE WE?

Wiltshire Council established Stone Circle as a Local Housing Company in 2019 to provide additional housing solutions, complementing the Council’s internal efforts. Stone Circle operates as a commercial entity with social values at heart, addressing housing needs across Wiltshire while delivering financial returns for the Council.
Since inception, we’ve focused on delivering sub-market rental properties in key areas and developing council-owned land to bring new homes to the market. Now entering our sixth year, we are scaling our operations and investment significantly.

REQUIREMENTS

  • Proven experience in office management or a similar role (preferably remote).
  • Knowledge of HR practices, compliance, and general business operations.
  • Experience in developing and managing organizational policies.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills and a proactive mindset.
  • Familiarity with IT systems and infrastructure.
  • Knowledge of the housing or development sector (desirable but not essential).
  • Full UK driving license and access to a car.

Responsibilities:

THE ROLE

We are seeking a proactive and resourceful Office Manager to join our team. This position will be instrumental in ensuring our operation runs smoothly and efficiently, while contributing to a positive and collaborative organizational culture. Reporting to the Operations Director, the Office Manager will oversee key administrative and compliance tasks, ensuring the group operates effectively and thrives. Additionally, they will provide valuable support to the wider team, enabling success across all areas of the organization.
This role is fully remote, but applicants must live within a reasonable distance of Wiltshire to attend quarterly team meetings and onboard new starters as required. Mileage and travel expenses (within reason) are reimbursed per our expense policy. Our registered office is at County Hall, Trowbridge, Wiltshire, BA14 8JN, though meeting locations may vary.
We are looking for someone who thrives in a remote working environment, has a proactive mindset, and is driven to identify and implement improvements to benefit the entire organization.

KEY RESPONSIBILITIES

  • Office Administration: Oversee scheduling, diary management, and administrative support, including managing correspondence, printing/posting and preparing reports.
  • Policy & Compliance: Develop and maintain company policies in collaboration with consultants, ensuring annual reviews and compliance with relevant regulations.
  • HR Administration: Manage leave, oversee performance reviews, and support staff welfare initiatives.
  • Recruitment & Onboarding: Lead recruitment efforts and onboard new team members effectively.
  • IT & Systems Management: Coordinate with IT providers to ensure the smooth operation of our remote-working infrastructure.
  • Data Protection: Ensure compliance with data protection regulations and best practices.
  • Marketing & Social Media: Update company social media channels and liaise with third-party providers as needed.
  • Website Maintenance: Work with third-party providers to keep the company website updated and relevant.
  • Communication: Handle inquiries via phone and email, ensuring timely and professional responses.
  • Operational Improvements: Identify and implement strategies to enhance efficiency and effectiveness.
