Job Summary
The Office Manager and Client Receptionist must make a welcoming first impression for Ten Capital Wealth Advisors’ prospective clients and provide a friendly and knowledgeable face for Ten Capital’s current clients. The Client Reception position is the central nervous system of the office, which collects and distributes information professionally and effectively. You will support and create consistency for the Ten Capital team and strives to present Ten Capital in the best possible light. You will report to the President and Chief of Staff. #LI-Onsite
Responsibilities and Tasks

Client Reception – 50%

  • Screening calls and disseminating information accordingly.
  • Listen to voicemails, responding to emails, scanning, filing, and printing
  • Create tasks and notes in our CRM system based on client requests, phone calls, and emails
  • Use a central calendar and anticipating client meetings
  • Greet in-person clients
  • Validate parking for clients
  • Manage multi-phone line system

Marketing Communication and Firm Events – 25%

  • Monthly client birthday cards
  • Social Media Manager
  • Posting Weekly Tens
  • Posting Weekly Commentary
  • Creating Commentary Reports
  • Updating information on our website
  • Plan, organize, and attend client events, both virtual and in-person

Daily Operations and Firm Manager Responsibilities – 15%

  • Creating processes and office procedures
  • Ordering supplies from vendors and invoice bookkeeping
  • Opening and closing the office
  • Partakes as a member of the Operations Team
  • Communicate with the Wonder Building Management

Support to Client Service Managers – 10%

  • Printing, scanning, and mailing documents per request
  • Familiar with our service platforms, add support when needed
  • Tasks associated with our client servicing platforms

Required Skills & Qualifications

  • Strong written and verbal communication skills
  • Personable and positive with clients; have a “client first” and team-building mentality
  • Organized and detail-oriented
  • Tech-savvy and able to learn new platforms that we use to service clients
  • Familiar with social media outlets and other marketing tools
  • Maintains a high level of professionalism and confidentiality

Education & Experience

  • 3 or more years of experience
  • High School Diploma or equivalent required
  • Bachelor’s degree is preferred but not necessary
