Responsibilities:

  • Communication: receiving incoming calls and routing them appropriately to the correct person or department
  • Reception tasks: receiving personal visitors, and escort them to the appropriate person or area if necessary
  • General office organization: managing appointments, meeting rooms, office supplies and other resources
  • Correspondence management: processing and distributing mail and emails; responsible for creating internal memos, notes
  • Document management: organizing, archiving, and filing documents, including digital files and physical records
  • Coordination of meetings and events: planning and organizing meetings, conferences, and other events
  • Maintaining office technology: monitoring and maintaining office equipment such as printers, photocopiers, and telephone systems
  • Complaint management: receiving complaints or enquiries from customers or employees and act accordingly by forwarding them to the right department or offering solutions
