REQUIRED QUALIFICATIONS:

  • 5+ years of experience in office management, ideally in a high-tech or scientific environment
  • Relevant qualification in business administration (Kaufmann/Kauffrau EFZ, Hotelfachschule, or similar)
  • Excellent organizational skills
  • Exceptional interpersonal skills
  • Fluent English and German

Responsibilities:

ABOUT THE ROLE:

As an Office manager for our Zurich office, you will ensure the smooth operation of our office environment, supporting both the administrative functions and operational efficiency of the office.
In this role, you will work closely with global finance and HR functions, as well as local Immunai management and employees.
This is a part-time (50%) position.
Location: Zurich, Switzerland

WHAT WILL YOU DO?

  • Oversee day-to-day operations of the office, ensuring smooth workflow and efficient use of resources
  • Organize office events and celebrations to foster a positive work culture, coordinated with HR.
  • Monitor and manage office supplies, equipment, and facility-related services. Maintain a professional and positive work environment,
  • Coordinate with building management for any structural or facility-related issuesOversee employee access to the building, manage security passes, and maintain visitor logs.
  • Develop and manage the office operations budget, Regularly report on spending to senior management.
  • Work closely with the finance team to process invoices.
  • Support HR with onboarding and offboarding of employees.
  • Assist employees with travel bookings,for business-related trips. Ensure that the office complies with local and industry-specific health and safety regulations. Regularly update safety policies and ensure staff members are informed.
  • Coordinate shipping in and out of the office.
