Office Manager
At Zurich Insurance Benelux we are looking for an Office Manager to become a part of our facility team. In this role every day is different, as you are the go-to person for everything related to the office environment and more. From welcoming visitors to managing deliveries to arranging travel and accommodation for your colleagues, you keep everything running like clockwork. This is a fulltime role where you will be based in our office in Zaventem, Belgium. Parttime for 4 days is also an option.

KEY ACCOUNTABILITIES

Within this role you are responsible for all day-to-day office and facility-related tasks. Naturally, this will not be the only thing you will be doing. These tasks will be combined with a range of administrative and reporting tasks, as well as getting the chance to contribute to a variety of projects. Your duties will include some of the following:

  • Coordinate facility supplier services and maintain service levels
  • Welcoming visitors, ensuring registration and issuing visitors- and parking badges
  • Receive and distribute incoming deliveries, e.g. parcels, mail and arranging outgoing post (including express/couriers services)
  • Manage the general company email and phone line, making sure that messages are directed to the applicable colleague.
  • Support activities such as All Staff meetings, external events and arranging lunches for meetings.
  • Arrange travel and accommodation for employees and company credit cards.
  • Manage the distribution of company assets and ensure efficient reporting of mobile phones and workplace hardware.
  • Support sustainability initiatives and reporting.

REQUIREMENTS/ PROFILE

  • You are fluent in at least 2 of the following 3 languages and have a professional level of the 3rd; Dutch, English and French (speaking, writing, reading).
  • Minimum of 3+ year’s relevant experience in a similar role.
  • IT literate; knowledge of Word, Excel, Powerpoint
  • Able to plan, organize workload, problem solve effectively and efficiently
  • Multi-tasker with clear priority setting and transparent communication
  • Able to work independently and make decisions autonomously
