Description:

We are currently looking for an experienced and energetic Office Support Administrator and Receptionist to join our growing team.
As the first point of contact for our visitors and clients, you will play a crucial role in creating a positive and welcoming experience at Newgate. Not only will you be the first point of contact for the business, you will be responsible for the seamless coordination of business administrative support to multiple internal teams.

SKILLS, KNOWLEDGE & BEHAVIOURS:

  • A skilled administrator
  • Excellent written and verbal communication skills.
  • Previous experience as a receptionist or similar customer-facing role is preferred
  • Excellent interpersonal skills and the ability to communicate at all levels
  • High level of accuracy and attention to detail.
  • Strong organisational and multitasking abilities
  • Proficient in Microsoft Office Suite (Word, Excel (intermediate), Outlook)
  • Tech-savvy and comfortable using office equipment and software systems (Sage, Oracle, SAP)
  • A good understanding of GDPR and confidentiality

QUALIFICATIONS

  • GCSEs or Equivalent in English and Maths.

Responsibilities:

  • Assisting with completing client pre-qualification questionnaires and on-line portals
  • Creating site specific risk assessment and method statements (RAMS) from master documents folder for review by the SHEQ Manager.
  • Ensuring safety documentation, RAMS, O&M manuals and COSHH data is sent to clients prior to delivery and install of equipment.
  • Assisting on the admin side of safety documentation when updates are required: updating training certificates in training folders, safety signage as required, general scanning and saving docs, laminating safety signage etc.
  • Admin support for the H&S Department at peak times; such as annual IMS review, Engineers training days and ISO and other audits.
  • HR Administration and HR Inductions.
  • Employee monitoring such as DBS checks and Driving Licence checks.
  • Providing administrative support to the Chief Operating Officer and various departments within Newgate including the Contracts, Engineering, Finance, Production, Purchasing, Sales, and Service teams.
  • Processing financial transactions including sales / purchase invoices and assisting with credit control.
  • Answering phone calls and emails promptly and professionally.
  • Schedule various management meetings and minute taking.
  • Assisting with the management of premises and office facilities including monitoring maintenance schedules.
  • Monitor and order office supplies as needed.
  • Providing general office administration including data entry, scanning, photocopying and filing.
