DEPARTMENT SUMMARY

The Texas Municipal Clerks Association, Inc. (TMCA), is a statewide professional organization dedicated to providing an educational and professional development program for novice and experienced city clerks. While TMCA does not work directly with UNT students, our department helps to fulfill UNT’s mission of service to the community. Our goals and efforts serve the demands of excellence in local governments across Texas. We provide a program that motivates and allows municipal clerks in Texas to become leaders in their fields of governance.

POSITION OVERVIEW

This position is responsible for providing administrative support and customer oriented services to the department. Coordinates activities and acts as department/area liaison handling issues that are sensitive and confidential. Identifies and recommends improvements for administrative procedures, as necessary assignments vary from routine to complex in nature and requires some latitude and problem solving and interpretation of department and university guidelines.

MINIMUM QUALIFICATIONS

High school diploma and three years’ of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to work under pressure, to adjust to changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Skill in completing assignments accurately and with attention to detail
  • Ability to analyze, organize, and prioritize work while meeting multiple deadlines
  • Skill in communicating effectively in writing as appropriate for the needs of the audience
  • Skill in talking to others to convey information effectively
  • Skill in using computer applications including spreadsheet, database, and word processing software
  • Knowledge of inventory control principles and methods.
  • Ability to work successfully as a member of a team and independently with moderate supervision.

PREFERRED QUALIFICATIONS

  • Some office or administrative experience, ideally in a professional or educational environment.
  • Familiarity with or interest in professional development programs, such as helping with event registration or seminar coordination.
  • Basic understanding of database and records management.
  • Strong customer service skills with experience handling inquiries and managing communications.

Responsibilities:

  • Process and mail loan library books
  • Process and sort incoming mail and assists with large mail outs
  • Assist with processing seminar registrations and assist with all aspects of seminar preparation including name badges
  • Answer and route phone calls
  • Answer and sort emails coming into shared inbox
  • Manage and organize student, attendee, and office data, ensuring accurate categorization and streamlined access to information.
  • May travel to local seminars/events
  • Perform other administrative tasks when required.
