Description:

Under the supervision of the Director of the McCord Museum Foundation, the incumbent will contribute to the sound day-to-day management of fundraising events, including the Ball, the Sugar Ball (SB) and the Wine & Food.

QUALIFICATIONS AND PROFILE REQUIRED

  • College or university education in marketing, administration, cultural facilitation and research, communications or other related field
  • Two (2) years experience in event management and fundraising; all combinations of experience will be considered
  • Bilingual, both written and oral; writing skills
  • Good knowledge of Microsoft Office software
  • Knowledge of computer databases
  • Exemplary interpersonal skills and excellent communication skills
  • Autonomy, good priority management, good political sense
  • Thoroughness and team spirit; concern for customer service

Responsibilities:

  • Support the Executive Director in organizing fundraising events for the Foundation, including the Ball, the SB and the Wine & Food.
  • Help develop the concepts for each fundraising event, together with the Executive Director and, if applicable, the external artistic director / producer of the event.
  • Create a post-mortem to evaluate the fundraising events.
  • Coordinate sponsors and goods & services partners for each fundraising activity.
  • Act as a daily liaison between internal and external teams and supervise development and production with them.
  • Act as the point of contact between the Foundation and the many committee co-chairs and members for each fundraising activity (40 to 50 volunteers per year).
  • Respond to the committee co-chairs’ and members’ daily needs, including the preparation of required documents.
  • Coordinate and manage fundraising events.
  • Keep budgets, timelines and committee meetings on track.
  • Coordinate all tasks related to communications.
  • Keep track of invitations and reminders for the Ball.
  • Issue tax receipts for the Ball.
  • Cross-reference donation entries with the Museum’s accounting department for the Ball and the SB.
  • Respond to corporate donors’ and individuals’ requests; follow up on committed donations.
  • Write texts and solicitation letters, thank-you letters, etc.
  • Establish and manage the mailing criteria in regard to the database, etc.
  • Generate dashboards required by the Foundation, including reconciliation with accounting.
  • Enter data and updates in the Sugar CRM and generate the required dashboards.
  • Archive the generic and personalized project documents (requests, agreements, correspondence, creative, etc.) according to the pre-established system.
  • Conduct an analysis survey of other philanthropic fundraising events.
  • Maintain good relations with donors and volunteers.
  • Follow up with donors and encourage them to support the Museum.
  • Perform any other related tasks and provide administrative support related to the above-mentioned tasks.
