Description:

PREFERENCE WILL BE GIVEN TO QUALIFIED EMPLOYEES, AS DEFINED IN THE FULL-TIME SUPPORT STAFF COLLECTIVE AGREEMENT. SHOULD A SUITABLE CANDIDATE NOT BE FOUND, EXTERNAL CANDIDATES WILL BE CONSIDERED.

The oneCARD Clerk provides a variety of support services for the oneCARD office and is responsible for 1st level front line customer service for all identification clients. The oneCARD is a valuable piece of identification which serves a variety of purposes for students and staff on and off campus.
Reporting to the oneCARD Manager, this position is also responsible for the daily production of oneCARDs by operating a computer, video camera and printer. The incumbent will also sell services offered through the oneCARD, complete daily reconciliations of oneCARD deposits and perform Point of Sale (POS) functions for all oneCARD transactions.

THE SUCCESSFUL CANDIDATE WILL ALSO MEET THE FOLLOWING REQUIREMENTS:

  • A 2-year diploma or equivalent in Business/Office Administration or a related field and a minimum of 2 years of experience in a busy automated office with knowledge of oneCARD operations and payment processing (equivalencies to be considered);
  • Experience with digital camera equipment, ID card/software knowledge;
  • Experience with Point of Sale (POS), equipment and daily reconciliations;
  • Experience with Microsoft Office Suite;
  • Excellent problem-solving, organization, time-management skills and strong customer service focus.

Responsibilities:

WHAT YOU’LL BE DOING

  • Producing and replacing lost oneCARD cards for students, staff and faculty;
  • Approving or declining oneCARD photos submitted online through the use of our oneCARD photo submission portal;
  • Selling services offered through the oneCARD program;
  • Operating a computer, video camera and a printer and assisting with set-up, cleaning and maintenance of ID computers, printers and all relative peripheral equipment;
  • Completing daily reconciliations of oneCARD deposits;
  • Performing all Point of Sale (POS) transactions for oneCARDs including refunds and deposits;
  • Providing key front line customer service and clerical duties in person, telephone and email by answering inquires for oneCARD office(s);
  • Maintaining adequate inventories of office supplies including receipts and the reproduction of in-house produced forms, policies and procedures;
  • Executing the count of weekly inventory supplies to ensure oneCARD office operates with minimal disruption;
  • Driving traffic to oneCARD websites using social media including Facebook, Twitter, Instagram, Pinterest, etc. creating promotional plans and updating the oneCARD website;
  • Assisting with coordinating hardware warranties, service contracts and the security of all computer/relative equipment, ensuring all equipment is in working order and performing regular maintenance checks (oneCARDS POS, card readers, etc.);
  • Resolving clients’ problems with non-functioning cards, checking status of the client using related databases;
  • Performing end of day POS system reconciliation and ensuring proper office equipment in place for following day;
  • Assisting with coordinating activities to provide effective and efficient services during start of term and special events;
  • Performing other duties as assigned.
