Description:

An Operations Assistant supports the day-to-day functions and activities within an organization, ensuring smooth and efficient operations.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Education: A high school diploma or equivalent is typically required; a bachelor’s degree in business administration or a related field can be advantageous.
  • Experience: Previous experience in an administrative or operations role is often preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Communication Skills: Strong written and verbal communication skills.
  • Organizational Skills: Excellent time management, attention to detail, and multitasking abilities.
  • Problem-Solving Skills: Ability to identify issues and develop effective solutions.
  • Interpersonal Skills: Ability to work well with others and build relationships.

Responsibilities:

  • Administrative Support: Manage schedules and appointments.Organize and maintain files and records.Prepare and edit documents, reports, and presentations.
  • Communication: Act as a point of contact for internal and external communications.Respond to inquiries and provide information as needed.Coordinate meetings and take minutes.
  • Logistics and Coordination: Assist with the planning and execution of events and projects.Coordinate travel arrangements and itineraries.Handle procurement and inventory management.
  • Data Management: Collect, analyze, and report on various data sets.Maintain databases and ensure data integrity.Generate and distribute regular operational reports.
  • Support Operations: Assist in the implementation of operational policies and procedures.Monitor and report on operational performance.Help troubleshoot operational issues and escalate as necessary.
  • Financial Tasks: Assist with budget preparation and expense tracking.Process invoices, reimbursements, and other financial documents.Support financial audits and compliance checks.
