Job Title: Operational Service Manager ( Portering & Security )
Reporting to (position) Patient Logistics Manager
Job objectives and responsibilities
QHSE - Follows the Company’s QHSE procedures within the course of the role and ensures that the Team are performing their duties within the guidelines at all times.
Operational - Recruit, train and supervise All team members ensuring training and qualifications are maintained within contractual obligations.
Leadership : Full resposibility for Staff Wellbeing and promoting Mitie’s core principles.
Operational - Manages and delivers the service ensuring that contract obligations, KPIs and agreed Trust and company policies and procedures are met at all times
Leadership - Sets objectives and goals for the team, and decides what work needs to be done to meet those goals.
Leadership - Organises, divides, and delegates the work into manageable activities, and selects people to accomplish the tasks that need to be done
Leadership - Develop and implement Portering , Waste & Security policies, protocols and procedures in line with the company and trust values
Leadership - Measures and establishes appropriate targets and objectives, and analyses, appraises and interprets performance.
Leadership - Develops the team, people are the company’s most important asset, and it is up to the manager to develop and improve them
Interpersonal - Works closely with matrons, ward sisters and Trust leadership team membersat all times
Main duties
QHSE - Responsible for all the QHSE needs of the team
Operational - Undertakes additional duties in line with capabilities as required
Operational - participates in disciplinary and grievance practices as required across the healthcare estate, and in accordance with staff handbook and starter form
Operational - Offers on-site training and support for staff
Operational - Leads on absence management for the service ensuring return to work interviews are being completed, absence levels are tracked and the absence management process is being followed to progress and close cases.
Operational - Ensures the hospital has a reputation for its high quality Patient Logistic Services and where possible to look for opportunities to develop this further
Operational - Ensure assignment instructions , Risk Assessments and SOP’s are up to date and signed by all members of team.
Operational - Completes Workplace + Scheduling and Daily Updates and reconciliations. Maintains HR files, training records, site pack, Annual leave records within Workplace +
Operational - Review reports on incidents and breaches . Complete investigation root cause and outcome on all IR1 complaints received and report injuries/incidents via ECO Online.
Leadership - Leads a team to ensure the delivery of a high quality, timely, responsive, cost-effective and pro-active service to meet the needs of the wards and departments
Person Specification
Qualification - Has a very high standard of literacy and numeracy
Qualification - Has a good working knowledge of Microsoft office. Competent in use of technology
Qualification - Expert in the provision of Patient Logistic Services under all areas.
Qualification - Excellent written and verbal communication and negotiation skills
Qualification - Comfortable using Mitie’s software programs and Apps, for example Navenio , learning Hub , People Hub , MPro5, Workplace + , Merlin patrol System , Bodyworn Cameras and CCTV/Panic Alarms and analyzing data using Mitie’s auditing systems.
QHSE - Understands requirement to respect confidentiality
Operational - Understands the organisations goals and objectives.
Operational - Has the ability to work to strict deadlines
Leadership - Is hands-on; driving a culture of high quality customer excellence.
Leadership - Is able to plan and manage own workload effectively.
Interpersonal - Is reliable and flexible
Health and Safety responsibilities
Follow Group and company policies and procedures at all times;
Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
Use all work equipment and personal PPE properly and in accordance with training received;
Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;
Information Security
Ensure compliance with Mitie’s information security procedures in all activities;
Proactively identify and report security risks to your manager;
Report actual and suspected security incidents
