QUALIFICATIONS:
- Bachelor’s degree preferred, but not required
- Proven experience as an executive assistant or administrative assistant, preferably in a fast-paced environment
- Strong organizational skills with the ability to multitask and prioritize workload effectively
- Excellent communications skills, both written and verbal
- Proficiency in Microsoft Office suite and other relevant software
- Discretion and confidentiality in handling sensitive information
- Ability to work independently and collaboratively in a team environment
- Flexibility and adaptability to changing priorities and deadlines

Responsibilities:
- Manage executives’ calendars, scheduling appointments, and arranging meetings
- Screen and prioritize phone calls, emails, and correspondence
- Prepare materials for meetings, including agendas
- Assist in coordinating travel arrangements and accommodations for executives
- Act as a liaison between executives and internal/external stakeholders
- Handle general office administrative tasks such as filing, scanning, and organizing documents
- Manage office supplies and common area inventory, ensuring stock levels are maintained
- Assist in the preparation and distribution of internal communications
- Provide support for daily lunch and events, including logistics and coordination
- Be the eyes and ears of the office (ex: report any repairs and maintenance needed, security protocol)
- Ad hoc duties as assigned by senior management
