Description:

As one of Canada’s Best Managed Companies, Fresh Direct Produce is looking for a proactive Operations Administrator to join our growing team!
We have a great opportunity for a multi-faceted Operations Administrator to provide complex and comprehensive administrative support and be the liaison between our Operations team and our other departments. Reporting to the Operations Manager, you will perform daily administrative duties and participate in special projects, including some of a highly confidential nature; you will use your independent judgment and analytical abilities and exercise discretion and flexibility in work situations.
PRIMARY RESPONSIBILITIES include:

Administrative

  • Providing admin support to the Operations Manager and Supervisors
  • Arranging service calls as required for Operations Repairs & Maintenance
  • Composing relevant letters, notices and departmental memorandums
  • Coordinating meetings: room bookings, documentation, minute-taking
  • Communicating and liaising with Ops supervisors and other departments on Operations projects and needs
  • Preparing uniforms and work supplies for new hires in the department
  • Assisting in Operations projects, Lean projects, and company-wide events
  • Monitoring and following up with Operations staff members to make sure department activities and projects (such as performance evaluations, etc.) progress smoothly and are completed within deadlines.

Reports & Analyses

  • Purchasing and inventory tracking of Operations equipment & supplies
  • Monitoring and calculating the work efficiency of each Operations division
  • Collecting data and compiling reports (ex. product dumping, cases & cost, OT reports) for Operations control purposes
  • Investigating root causes of warehouse mistakes
  • Following up with incident reports, ICBC Claims & traffic violations

QUALIFICATIONS include:

  • University degree or college diploma
  • Proficient in Microsoft Office, particularly in MS Word and Excel
  • Minimum 1-3 years of experience in an administrative role
  • Experience handling discretionary and confidential information
  • Experience responding to correspondence and generating reports
  • Knowledge of operational functions an asset
  • Ability to guide and provide training to administrative staff
