Responsibilities:

THE ROLE

Joining Lockton Re’s Operations team, you will provide team administrative support to the UK based team of Operations professionals and the International Chief Operating Officer, and have responsibility for various operations functions within the Lockton Re business (as detailed below). This is an excellent opportunity for an individual with previous administrative experience to continue their career in our dynamic and growing business. This role has development opportunities within the Operations team and would suit a candidate who is eager to get a foundational understanding of how an International business is run.

Team Assistant responsibilities:

  • Providing team logistics planning/management including organising meetings and providing agendas.
  • Providing admin assistance to the Operations Executives and working closely together to ensure the team has smooth and robust processes in place.
  • Arranging domestic and overseas travel including providing full itineraries.
  • Expense management, handling expenses including checking of those submitted to their manager.
  • Formatting / drafting correspondence and documents efficiently and accurately.
  • Meeting and greeting external and internal guests, arranging meeting rooms and catering.

Operations Administration responsibilities:

  • Responsibility for the onboarding and offboarding process at Lockton Re - liaising with the various shared services inc HR/IT to ensure a seamless transition into the business for all new associates. Managing the full end to end process alongside the business units in a professional and timely manner.
  • Responsibility for office management including office and meeting room equipment, desk moves, business cards, stationary and ensuring that the office is operating smoothly and efficiently.
  • Responsibility for processing Lockton Re’s third party invoices
  • Scheduling important meetings and the taking of minutes as well as preparing agendas and meeting packs.
  • To assist with innovation, efficiency or operational strategy projects within the business.
  • Assist with operations administrative tasks and general business processes which will include, amongst others, structure charts, Gifts & Entertainment and business continuity planning.
  • Prepare and modify documents including correspondence, reports and presentations.
  • Be able to flexibly support the business and take on any additional responsibilities deemed necessary within the Operations team.

  • Excellent communication skills both verbal and written are essential coupled with the ability to build and maintain strong relationships with all colleagues across the business
  • Ability to effectively plan and organise your workload in order to meet business demands/timescales, with a demonstrable ability to multi-task, co-ordinate and prioritise your workload
  • Maintain a professional demeanour in all interactions, both internally and externally and able to remain calm under pressure
  • Communicate clearly and assertively with different teams to ensure timely and successful task completion.

  • Adaptable, with a desire to understand the nature of the Reinsurance broking industry and the role that Lockton Re plays
  • Self-motivated, with drive to achieve desired results with regard to team(s), division, and company objectives
  • Ability to utilise Lockton Re’s core systems to effectively manage the company’s business
  • Ability to develop internal/ external relationships, communicating at all level
