POSITION DESCRIPTION

Reporting to the Chief of Staff you will bring a highly organized and proactive Operations Administrator skillset to play a crucial role in ensuring the smooth operation of our growing organization. As the Operations Administrator, you will be at the heart of our daily operations, helping to streamline processes, manage administrative tasks, and coordinate key projects across departments. This role offers a unique opportunity to work closely with senior leadership and gain exposure to various facets of the business.
You will be responsible for ensuring that the administrative and operational functions of the company run efficiently, allowing the Chief of Staff and other executives to focus on strategic initiatives. The ideal candidate will be a resourceful problem-solver with a strong attention to detail and the ability to anticipate the needs of the team. This role is perfect for someone who thrives in a fast-paced environment, enjoys taking initiative, and is looking to grow their career within a dynamic company.
In this role, you will not only manage day-to-day administrative duties but also have the opportunity to contribute to the development and implementation of processes that will support the company’s growth. Your ability to juggle multiple priorities, maintain organization, and provide high-level support will be key to your success and the overall success of Pani.

EXPERIENCE:

  • 3+ years of experience in an administrative or operational role, preferably within a fast-paced, high-growth environment.
  • Proven ability to manage multiple tasks and projects simultaneously while maintaining attention to detail.
  • Experience supporting senior executives or leadership teams is highly desirable.

SKILLS:

  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.

EDUCATION:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.

Responsibilities:

RESPONSIBILITIES

  • Administrative Support: Provide comprehensive administrative support to the CEO, Chief of Staff and CFO, including scheduling meetings, managing communications, and organizing travel arrangements.
  • Operational Efficiency: Assist in identifying operational inefficiencies and implementing solutions to streamline processes across various departments.
  • Project Coordination: Support the Chief of Staff in managing cross-functional projects by coordinating tasks, tracking progress, and ensuring deadlines are met.
  • Data Management: Maintain and organize company data, ensuring accuracy and accessibility for the leadership team.
  • Communication: Serve as a key point of contact for internal and external stakeholders, ensuring clear and timely communication.
  • Documentation: Prepare reports, presentations, and other documentation as needed to support company operations and strategic initiatives.
  • Process Improvement: Identify opportunities for process improvements and work with the Chief of Staff to implement these changes across the organization.
