Description:

The role of the Administrator is to ensure that we have solid foundations in place to deliver our Strategy across our Exeter business. Our Operational Teams are at the heart of our business and the delivery of our customer experience; therefore this is a pivotal role placed in our modern Exeter Bus Station to support our Operational Teams to achieve our overall operational and organisational goals.
The postholder will be a trusted support to the Operations Manager and the Assistant Operations Managers and their teams within the business. The role will assist with collaboration across our Exeter business to deliver collaborative solutions and aim for consistent levels of excellence.
Key Responsibilities
- Office Management: Maintain a well- organised and functional office space. Ensure office security and GDPR compliance. Organisation and management of staff files.
- Communication: Manage and distribute incoming and outgoing correspondence including customer complaints and log correspondence. Handle phone calls, emails, and inquiries, redirecting them to the appropriate parties. Facilitate effective
communication between staff, departments, and external stakeholders.
- Record Keeping and Documentation: Maintain accurate records, files, and databases. Create, update, and organise documents, reports, and spreadsheets. Assist in archiving and document retrieval. Auditing and updating of driving licence checks using the approved company systems. Processing of all employee Driving licences.
- Administrative Support: Onboarding new employees by providing necessary
documentation and information and checking right to work documentation. Completing new starter documents, Contract of employment creation, creating new staff files, and arranging company medicals for new and existing employees. Processing of leavers through
the company systems. Arrange and support meetings, including taking meeting minutes. Handle basic HR administrative tasks, such as maintaining employee records.
- Safety Culture Promotion: Foster a safety- focused culture among colleagues by promoting adherence to safety protocols and best practices. Encourage open communication and reporting of safety concerns, incidents, and near misses.
- Compliance: Enter driver defect card breaches onto spreadsheets and systems, and bring breaches to the attention of the Operations Manager and Assistant Operations Managers. Issue standard letters as appropriate.
- Staff: Issue and recording of staff passes and uniform ordering, managing of quantities and stocks. Issuing and record keeping of
commercial revenue products for driving staff.
Qualification Requirements
- Proven experience in an Administrator role, ideally gained in a large multi-site business.
- Communication skills: Excellent verbal and written communication skills. They must be able to communicate effectively with colleagues and internal stakeholders.
- Employee Engagement: A passion for organisational improvement through employee engagement.
- Attention to Detail: Strong attention to detail to ensure that communication materials are
accurate and error-free and ability to multi task.
