The Operations Assistant plays a crucial role in supporting the efficient functioning of daily operations within the organization. This position involves providing administrative and logistical support to the Operations team, ensuring smooth workflows, and contributing to the overall effectiveness of the business. This position is a temporary role within our company, offered on a 6 to 12-month contract basis with the possibility of renewal. There is also the potential for the position to transition from temporary to full-time.

Responsibilities:

  • Provide administrative assistance to the operations team, including document preparation, data entry, and maintaining organized filing systems.
  • Assist in coordinating internal and external communications, ensuring timely and accurate information flow between team members and other departments.
  • Support logistics and supply chain activities, including inventory management, order processing, and coordination with suppliers or vendors.
  • Assist in scheduling appointments, meetings, and coordinating calendars for operations team members.
  • Maintain accurate records by entering data into databases, spreadsheets, or other systems as required.
  • Generate basic reports on operational activities, providing summaries and insights as needed.
  • Prepare and organize operational documents, manuals, and standard operating procedures.
  • Assist in identifying and resolving operational issues, collaborating with team members to implement effective solutions.
  • Handle inquiries and requests from internal and external stakeholders, providing excellent customer service and directing issues to the appropriate parties.
  • Contribute ideas for process improvements and operational efficiencies, working collaboratively with the operations team to implement changes.
