JOB SUMMARY:
The Operations Assistant will play a pivotal role in managing the daily schedules of our engineers, coordinating over 100+ email bookings per day, and optimising travel routes to minimise downtime. This role offers significant growth potential, with the opportunity to progress to an Operations Manager position.
KEY SKILLS AND EXPERIENCE:
- Strong organisational and multitasking skills with the ability to manage a high workload.
- Excellent knowledge of London and its postcodes to optimise travel and scheduling.
- Previous experience in a similar operations or scheduling role is highly desirable.
- Proficiency in Microsoft Office Suite and scheduling software.
- Clear and professional written and verbal communication skills.
- Ability to remain calm under pressure and solve problems efficiently.
- A proactive approach to work and a keen eye for detail.
Responsibilities:
OPERATIONS ASSISTANT ROLE
Super Efficient is a fast-paced and expanding heating and plumbing company with a dedicated team that consists of two directors, 15 mobile engineers, and four office-based employees. Our office is located in Crews Hill, while our engineers serve clients all across London. We take pride in delivering unmatched customer service and expert knowledge in heating, plumbing & drainage. Our diverse client base includes property developers, estate agencies (some managing over 2,500 properties), independent homeowners, local councils, and landlords. Our close-knit team works together with a shared ethos, striving for excellence in every aspect of our service. We maintain high standards through ongoing training and guidance from our directors to ensure exceptional service is consistently provided. KEY RESPONSIBILITIES:
- Email Management: Handle and prioritise a high volume of booking requests, ensuring all inquiries are addressed promptly and professionally.
- Scheduling and Coordination: Allocate jobs effectively to a team of 15 mobile engineers, optimising travel routes across London using postcode knowledge.
- Communication: Liaise with engineers, clients, and other stakeholders to ensure timely updates and resolutions.
- Timetable Management: Prepare and oversee daily timetables for engineers, ensuring they are equipped for the day ahead.
- Forwarding Tasks: Direct emails or booking requests to the appropriate department or individual when necessary.
- Operational Support: Provide administrative support to the operations team, including record-keeping, reporting, and tracking job progress.
- Process Optimisation: Assist in streamlining operational processes to enhance efficiency and client satisfaction.
- Managing work instructions and quote requests.
- Scheduling works and quotes with tenants and clients.
- Liaising between clients/tenants and engineers.
- Regularly updating clients with the status of works.
- Assisting with organising and purchasing of materials.
- Issuing completion details and sending out invoices.
- Managing payments from non-account holders.
- General administration of day-to-day operations of the business.
