Description:
The Department of Psychiatry and Behavioral Sciences seeks an experienced Administrative and Operations Coordination Manager to support the Associate Chair of Operations. This role is crucial in coordinating the department’s complex operational functions, including IT, space management, facilities, and department-wide projects. The Ooperations Coordination Manager will handle long-term planning, develop systems to enhance operational efficiency, and ensure that departmental activities align with institutional goals. Key responsibilities include organizing operational processes and coordinating IT, facilities, space management, and special projects. This position will also manage departmental events, specialized facilities like conference rooms and IT equipment, and ensure the completion of essential operational tasks. Additionally, the role involves representing the department on business issues within the institution and serving on key committees to influence policy and operations.
This position specifically involves coordinating both administrative and operational services for the Associate Chair of Operations. The role includes organizing budget processes, space planning, and potentially IT and facilities improvements. Key duties involve tracking projects, handling correspondence, strategic planning, and developing communication plans. The manager will also coordinate departmental activities, manage facilities and IT resources, and ensure the timely completion of operational tasks. Representing the department in institutional forums and contributing to decision-making processes is also a critical part of this role. The ideal candidate will have strong expertise in managing complex operations and a commitment to enhancing the department’s functions.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $101,600 - $157,500 (Annual Rate).

REQUIRED QUALIFICATIONS
- Bachelor’s degree in related area and minimum five years of experience or equivalent experience / training.
- Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
- Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- Ability to use discretion and maintain confidentiality.
- Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.
PREFERRED QUALIFICATIONS
- Masters degree.
- Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
- Advanced knowledge of common University-specific computer application programs.
- Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
