About the role
The Oceania Operations Coordinator will play a key role in the behind the scenes aspects of our tours, including reservations, service bookings, trip costings, itinerary delivery and contingency planning. This role will be supporting operations across both New Zealand and Australia.
The ideal candidate will enjoy working in a dynamic environment, where balancing multiple priorities and collaborating with suppliers and colleagues to find solutions is part of the day to day. Working within a small but growing operations team, a level of initiative and confidence to navigate challenges is very important, as are strong communication skills and the ability to balance speed with accuracy.
The Operations Coordinator will share responsibility for the on-call emergency phone on a rotational basis with the rest of the regional operations team.

What You’ll be Doing
Reservations/Operations
- Support reservations of all accommodation, transport, activity and other services for tours, including late requests, cancellations etc.
- Support multiple inboxes providing efficient and timely support for our travelers and other stakeholders
- Work closely with the G Adventures sales team by responding to traveler enquiries and requests
- Assist in last minute changes and emergencies in collaborations with the Operations and Tour Leader teams
- Build and maintain strong relationships with suppliers through effective communications and collaboration
- Assisting with ongoing projects and process development within the Operations Department
- Support the Customer Solutions team for on-tour and post-tour issues
Financial
- Support in ensuring correct costings and services are allocated for each departure
- Support accounts payable functions, with a focus on ensuring adherence to budgets and payment terms
- Investigating discrepancies, validating and processing supplier invoices for on tour and overhead budgets
- Work closely with the Finance and Operations teams to ensure all audit trails and requirements are maintained and consistently meet business needsa
- Maintain relationships with supplier finance contacts
Desired Skills and Experience
- 2+ years of experience working in the accommodation, hospitality or tourism industry
- Familiarity with the geography of both Australia and New Zealand
- Exceptional customer service and communication skills with proficiency in Google Suite
- Self-motivated, highly organised, strong office administration skills
- Ability to travel when necessary for the role
Location: Remote - New Zealand
Auckland/Christchurch preferred, though all regions will be considered
Consistent phone reception and Wi-Fi is a must for this role
