Description:
- Assist the Operator / Marine Superintendent with the upkeep and updates to the HSSEQ management system.
- Coordinate and track the progress of vessel vetting inspections from initiation through to completion and approval, maintaining communication with vessels, oil majors, vessel agents, and relevant internal departments.
- Attend meetings within the Marine Department, record meeting minutes, and distribute them as necessary.
- Help update, review, and maintain the OCIMF Vessel Particulars Questionnaires (VPQ) and ensure accuracy in internal records, customer data, and other marine databases (SIRE, Q88, SIS3, CDI).
- Oversee the flow of information from the fleet to the department, ensuring timely updates and necessary data are received.
- Manage the distribution of incoming correspondence from vessels within the office.
- Track and record acknowledgements from the fleet.
- Contribute to the preparation of marine department statistics as required.
- Assist in compiling documentation needed for Management Reviews.
- Maintain and update Fleet Notices and Circulars in DANAOS on a monthly basis.
- Perform general administrative duties as necessary.
- File weekly and monthly marine-related reports and documents received from vessels and other parties, transitioning to electronic filing in DANAOS.
- Ensure compliance with voyage instructions and provide guidance to the vessel master according to the governing Charter Party (CP).
- Coordinate with purchasers, vessel superintendents, and logistical service providers for the planning of loading, unloading, and transshipment of stores and spares.
- Review and assess the actual fuel consumption of vessels versus budgeted amounts to ensure cost efficiency.
- Monitor vessel movements and performance, reporting relevant information to concerned parties.
- Handle disputes with counterparties (e.g., cargo damage, shortages, lay-time, underperformance) and work towards resolution based on charter party terms.
- Perform clerical tasks such as organizing shipping documents and entering voyage data into business applications.
- Assist in the compilation of insurance claim documentation as needed.
- Coordinate with the Master and Charterers regarding unexpected stoppages or repairs, including following up on OFF/ON Hire reports and providing instructions to the master regarding vessel-side reports to external parties (under the guidance of Technical Superintendent).
- Monitor and support vessels on operational issues such as loading, discharging, tank cleaning, and grade changes (under the guidance of the Marine Superintendent).
- Assist with post-fixture activities, including cargo documentation (e.g., Bills of Lading, Letters of Indemnity, cargo quantity issues, additional insurance requirements such as AWRP/KnR) under the guidance of the Marine Superintendent.
- Oversee bunker ROB (Remaining On Board) and vessel fuel requirements, including notifying charterers when necessary, and managing intake quantities and onboard fuel segregation (under the guidance of the Technical Superintendent and Master).
- Make agency appointments on behalf of the vessel owners as required.
- Monitor vessel speed and fuel consumption to ensure compliance with charter party requirements.
- Gather and collect customer feedback as needed.
