Description:

Admin – Mall stands is responsible for ensuring smooth operational management of site visits, rosters, mall stand data, and timely reports. This role requires exceptional organizational abilities, meticulous attention to detail, and analytical skills to evaluate performance metrics. Acting as the central point of communication between sales managers, supervisors, the admin ensures all tasks are executed efficiently and within deadlines.

Key Responsibilities:

  • Site Visits Management
  • Sales Manager Alignment: Assign Sales Managers for clients based on their preference of language or nationality and availability.
  • Timely Registration: Ensure all site visits are registered on time.
  • Client Feedback Management: Maintain and update the client feedback database regularly and share with supervisors.
  • Quality Control: Conduct periodic quality checks to ensure site visits meet lead qualification criteria.

2.Rostering & Attendance Management

  • Roster Preparation: Develop monthly rosters for all promoters, ensuring area-wise segregation and adjustment for demand and staff availability.
  • Shift Management: Monitor shifts to confirm adequate staffing and adherence to assigned schedules.
  • Attendance Tracking: Submit monthly attendance of promoters to HR.

3.Lead Management & Follow-Up

  • Lead Assignment: Assign re-inquiry leads to property consultants
  • Lead Monitoring: Track the progress and status of re-inquiry leads, ensuring timely follow-ups.
  • Lead Reporting: Provide regular updates on lead conversion rates, site visit conversions to mall stand manager.

4.Reporting & Data Analysis

  • Daily Reports: Prepare daily scheduled reports.
  • Shift-specific Reports: Track and document individual shift performance to identify trends or productivity gaps.
  • Weekly & Monthly Reports: Prepare detailed performance reports that include data trends, sales metrics, and actionable insights.

5.Data Analysis & Performance Insights

  • Mall Stand Lead Analysis: Analyze data from mall stand leads to identify trends, conversion ratios, and areas for operational improvement.
  • Performance Reviews: Conduct regular reviews of lead data to identify and resolve issues affecting site visits or sales.

6.General Administrative Support

  • Record Keeping: Maintain organized records of site visits, leads, attendance, and performance reports for reference and audits.
  • Process Improvement: Continuously seek opportunities to enhance workflows, boost efficiency, and minimize errors through process optimization.

Key Skills & Qualifications:

  • Experience: 2–3 years of experience in operations, administration, data analysis, or lead management roles.
  • Experience in a similar industry is highly preferred.

Skills:

  • Strong organizational and time management capabilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Excel and Word.
  • Keen attention to detail and high data accuracy.
  • Analytical mindset with the ability to derive insights from data.
  • Familiarity with rostering and attendance management tools is an advantage

Job Type: Full-time
Pay: AED8,000.00 per month
