Alberta University of the Arts (AUArts) is looking for an Operations Manager, Facilities and Security to join the Campus Operations team.
The Alberta University of the Arts is one of only four major art, craft and design focused Universities in Canada. Our internationally recognized programs and state-of-the-art facilities offer our 1,100 students a hands-on, studio-based education that leads to a Bachelor of Fine Arts, a Bachelor of Design, and an MFA in Craft Media. This is a full-time permanent position starting as soon as possible. Hours of work are 35 hours per week, 7 hours per day. On-call support evenings and weekends as required.

Reporting to the Director, Campus Operations, The Manager is responsible for ensuring a safe, secure, and compliant environment for the staff, students, and visitors of Alberta University of the Arts (AUArts). This role oversees day-to-day campus operations, including Health, Safety, Security, and Environmental (HSSE) management, and ensures compliance with policies and legislative requirements.
The Manager oversees all aspects of the University Emergency Response Plan (ERP), manages security operations, and supervises access control systems. Additionally, they administer facilities programs such as waste management and locker services and provide comprehensive support for project management within the Campus Operations Department, ensuring efficient coordination, timely execution, and alignment with departmental goals.
The role also includes supervisory responsibilities for the Campus Operations Assistant, casual staff, and contractors, both internal and external.

QUALIFICATIONS:

  • 2-year Diploma in a relevant field such as Facilities, Security, or HSE
  • Minimum 5 years experience in coordinating projects related to facilities and Health, Safety, Security & Environment (HSSE)
  • Demonstrated experience in security and facility management
  • Demonstrated experience in project management
  • Demonstrated administrative experience including report writing and budget tracking
  • Proficient in Microsoft Office Suite (O365)
  • Demonstrated accomplishment in Health & Safety training courses is an asset
  • Facility Management Professional (FMP) designation is an asset
  • Project Management Professional (PMP) designation is an asset

Responsibilities:

KEY RESPONSIBILITIES:

Security and Emergency Management

  • Responsible for the management of contract security staff, including scheduling, creating standing orders, and conducting orientation and training. Ensure exceptional customer service is provided to both staff and students. Contribute to staff discipline and dismissal decisions in collaboration with the service provider.
  • Develops, maintains, and oversees the institutions Emergency Response Plan (ERP). Works closely with external consultants as required to ensure effectiveness and compliance
  • Investigates all injury and incident reports in accordance with Occupational Health and Safety regulations. Conducts investigations and follows up on student discipline matters when necessary.
  • Responsible for the management and promotion of the AUArts Safe app / AUArts Security Twitter feed
  • Responsible for overseeing the Fire Warden program
  • Responsible for the essential operation of computerized access control and CCTV recording system
  • Oversees the issuance of access control cards, including card issuance, programming, and auditing
  • Responsible for the locker management program for the university. This includes issuance of lockers to students, managing the locker database and the year-end cleaning and maintenance of the lockers
  • Responsible for the lost and found program for the university. This includes ensuring lost and found items are tracked, stored, and turned out in the appropriate manner
  • Responsible for the hard-key management program, including tracking of sign-out and return, and maintenance of key database

Facility and Project Management

  • Assists with the administration of the day-to-day operation within Campus Operations. This includes working closely with both internal and external contractors
  • Assists with supervision of contract custodial, handyman, and food service staff. Ensures a high-quality customer service to staff and students. Provides input into staff discipline or dismissal actions to the service provider.
  • Manages the university’s waste, recycling, and compost programs, ensuring timely pickups and expanded internal initiatives
  • Assists with developing and administrating the Health, Safety and Environment program at the university
  • Responsible for managing confidential personal information relating to Health & Safety policies and procedures
  • Assists with planning and implementation of facilities projects (short-mid-long term)
  • Tracks progress and coordinates reporting of all Capital and Renovation Projects including but not limited to; BLIMS, AUArts CAPEX, AUArts Evergreen and CMR grants and allocations
  • Reviews all relevant external invoices and ensures accuracy in both charges and required backup documentation. Tracks and codes invoices in preparation for signature by the appropriate budget holder

Stand-In Management

  • Assists with the administration of the day-to-day operation within Campus Operations. This includes working closely with SAIT and both internal and external contractors.
  • Assists with planning of facilities projects (short-mid-long term)
  • Tracks progress and coordinates reporting of all Capital and Renovation Projects including but not limited to; BLIMS, AUArts CAPEX, AUArts Evergreen and CMR grants and allocations
  • Reviews all relevant external invoices and ensures accuracy in both charges and required backup documentation. Tracks and codes invoices in preparation for signature by the appropriate budget holder

Stand-In Management

  • Provides back-up support for the Director, Campus Operations during absences including committee participation and authority to make departmental decisions that require immediate action
  • Provides on-call support evenings and weekends as required
