JOB OVERVIEW
We are seeking a highly organized and tech-savvy Operations Manager to oversee the day-to-day operations of our digital education business. The ideal candidate must have a strong understanding of digital businesses, experience with automation and AI-driven tools, and the ability to work in a fast-paced, collaborative environment.
This role reports directly to the Director of Operations and works closely with other department managers, including the Marketing Manager, School Engagement Manager, and Education Manager. The Operations Manager will be responsible for maintaining operational efficiency, ensuring seamless collaboration, and optimizing systems through automation and AI.
REQUIRED SKILLS & EXPERIENCE
- 5+ years of experience in operations, project management, or a similar role, preferably in a remote-first company.
- Must have experience with Learning Management Systems (LMS) and understand digital education workflows.
- Strong understanding of AI tools, automation, and how they can be leveraged for operational efficiency.
- Experience in managing digital tools such as project management software, CRM, automation platforms, email marketing systems, and collaboration tools.
- Ability to manage multiple tasks, prioritize effectively, meet deadlines, and work independently.
- Strong leadership skills and experience working with cross-functional teams.
- A deep understanding of technology integrations and system optimization.
- Excellent documentation and reporting skills to ensure processes are well-documented and improvements are tracked.
- Strong problem-solving skills with a proactive, solution-oriented approach.

Responsibilities:
- Operational Efficiency: Ensure smooth day-to-day operations by managing workflows, troubleshooting issues, and keeping processes running efficiently.
- AI & Automation Implementation: Lead AI-driven improvements within the operations department each quarter. Example: optimizing customer support through AI-powered chatbots and automation tools.
- Cross-Department Collaboration: Work with other teams to ensure seamless operations, including supporting the Education Department in utilizing the Learning Management System (LMS) and related software to carry a course from creation to completion. This includes storing, sharing, and organizing webinar recordings.
- Webinar Facilitation & Documentation: Occasionally moderate and facilitate webinars, ensuring smooth execution and proper documentation of sessions. Generate reports and store relevant materials systematically.
- Standard Operating Procedures (SOPs): Maintain and improve SOPs to ensure consistency and efficiency across operations.
- System Management & Troubleshooting: Oversee and optimize digital tools such as the Learning Management System (LMS), customer support software, CRM, automation apps, email marketing platforms, and fulfillment systems.
- Order Fulfillment & Logistics: Ensure physical and digital products are delivered accurately and on time.
- Hands-On Execution: This role involves both managing and executing tasks. The Operations Manager is expected to take a hands-on approach rather than just overseeing.
- Customer support: Oversee the function of customer support. We are transitioning to more automation knowledge of such process is important. Supervise our virtual assistant who also assist in customer support. Work with the marketing and sales department to continuously update responses.
- Executive task in marketing and education project: Carry projects from inception to final steps. For example, if we have a new online course, work with the education and marketing team to get the course description, execute on the different components that makes the online education such as the link, display it, test for sign ups, deliver the recording, etc.
