Description:

This role sits at the heart of the business, championing company culture and enabling wider business functions and processes. Our business has three primary functions, Client & Commercial, Product & Engineering and Operations. This role primarily ensures the Operations function runs effectively and efficiently.

Role Responsibilities & Deliverables

  • Deliver Internal Projects
  • Plan, organise and manage delivery of internal projects with the wider team.
  • This will include new projects such as migrating between systems or recurring/ongoing projects by owning an operational calendar.
  • Manage Compliance and Policy
  • Working with the senior management team, ensure all policies are maintained, available and accessible in line with various compliance frameworks. This includes those related to the office but also supporting with HR policies, information governance and security and wider compliance frameworks the business needs to comply with to function effectively.
  • Promote and Deliver Team Development
  • Champion Thalamos culture, ensuring the physical space is one the Team wants to be present in.
  • Deliver inclusive team events or other socials.
  • Enable team members to be the best that they can be by delivering a learning and development programme and ongoing training to support the team in their career.
  • Support New Starters and Systems
  • Onboard new starters joining the business ensuring that: they receive clear communication prior to starting their role; they are set up with the device and equipment that they need to carry out their responsibilities; they complete any mandatory training such as Cyber Security; they have the relevant software licenses and accounts required to to hit the ground running and have a smooth first few weeks.
  • Ensuring smooth off-boarding processes if team members move on.
  • Office Management
  • Thalamos is growing as a business, we recently moved into an exciting new office space which we had fully refurbished. You would be responsible for the smooth running of this space, for bringing improvements and suggestions to benefit the wider team and heading off potential issues or pain points.
  • Manage all relationships with our suppliers (cleaning service, utility companies), and address any maintenance issues.
  • Establishing and maintaining an effective running of the office space from larger processes, to smaller important processes such as setting up the space or meeting rooms for client visits or small events.

  • You like to get things done. You are also able to think creatively to preempt and resolve problems.
  • You enjoy working with lots of different people with different skillsets to achieve common goals but you are also well organised and have strong time management skills to deliver independently when required.
  • You understand the importance of being physically present with a team of people rather than working fully remotely.
  • You have an operations background and have experience establishing and running good processes.
  • You are excited by the opportunities presented at a scaling business and are excited by an evolving role within the team.
  • You have experience with project management tools and frameworks.

We support the professional users of our clients to co-ordinate urgent care across organisations and geographies: we build intuitive joined-up solutions for complex and disparate medico-legal pathways. Our Mental Health Act workflow software is currently in use in multiple Mental Health trusts in the NHS, across London by the Metropolitan Police, and nationally by the CQC. In 2024 we are expanding our reach even further, including implementing a Pan-London NHS programme.
