POSITION SUMMARY:
The Operations Support Officer provides operational, financial and administrative assistance to the Senior Operations Manager and Dean to support operational and financial needs of the division. The Officer provides internal and external budget support, including preparing reports to monitor the divisions’ budget, processing financial documents, and planning, coordinating, and analyzing budgets.
EDUCATIONAL AND EXPERIENCE REQUIREMENTS:
- Three-year diploma or degree equivalent from a recognized post-secondary institution in Business Administration, Accounting, or related field of study. Progression towards an accounting designation is an asset.
- Minimum of three (3) years demonstrated practical experience in budget monitoring and financial analysis. Additional comprehensive experience with Banner system, Millennium and FAST as well as intermediate knowledge of Excel/Access programs.
SKILLS AND ATTRIBUTES:
- Understanding of generally accepted accounting principles and practices as they relate to fund accounting and an in-depth knowledge of the accounting requirements and financial business of the College is required.
- Intermediate to advance computer literacy with Microsoft Office (Outlook, Word, Excel, Office 365), and financial systems.
- Advanced computer literacy utilizing the following systems is preferred: Concur, FAST, CAAMS.
- Working knowledge of budgets, accounting, financial management, financial systems, and project management.
- Demonstrated ability to exercise independent judgement in problem solving and prioritization.
- Excellent time management skills including the ability to independently manage and monitor progress of projects.
- Solid organizational, multi-tasking and time management skills are required; ability to cope under pressure associated with the management of numerous complex and demanding tasks and competing deadlines; high level of attention to detail.
- Excellent communication, collaboration, teamwork and interpersonal skills.

Responsibilities:
- Coordinates external projects and internal academic program accounts to fall into proper budget categories. Creates and presents Budget Summary Reports for projects and external funders.
- Prepares and submits interim and financial budget reports for all external projects and assists in the preparation of external audit of all external projects.
- Prepares budgetary analysis in support of financial reporting to Chairs and the Dean for review and approval.
- Prepares month end analysis and year end internal financial statements; compiles and reconciles data, identifies major variances of budget versus actual, searching the reasons for major variances identified; conducts year to year comparisons.
- Under the general direction of the Senior Manager, prepares scheduled reports for enrolment, admission, registration and other reports as required.
- Assists with preparation of documents for business planning processes including creating a business plan status report to be sent to each Chair/manager in the Division.
- Performs ongoing reporting and sharing of data with Operations Managers and Chairs to monitor student enrolment levels and faculty workload hours.
- Supports division projects including special events and strategic projects - process improvement, implementation of new systems in the Dean’s Office.
- Creates and delivers presentations to internal audiences, industry partners, and funders.
- Other duties as assigned.
